Commercial refrigeration quotation checklist and RFQ template

A useful quotation is a response to a defined business requirement. When the first inquiry contains only a product photo or a broad category name, suppliers must make assumptions that later change the model, configuration, price or delivery plan.

Quick answer

What should you prepare?

To request a commercial refrigeration export quotation, send the destination, application, model or capacity, quantity, electrical requirements and delivery scope. Mark unknown specifications as open. Compare offers only after the model configuration, packing and included services are aligned.

1. Identify the destination and use

State the destination country, buyer type and application. Explain whether the equipment is for distribution, a supermarket project, a restaurant, a bakery, a branded program or another commercial use. This determines which selection and compliance questions should come first.

2. Provide a product list or floor-plan context

For a distributor inquiry, list the categories, capacity positions and expected channel. For a store or foodservice project, provide a floor plan, location, available dimensions, temperature zones and equipment schedule where possible. Mark any dimensions that cannot change.

3. Define technical and market requirements

Include target temperature, ambient condition, cooling preference if known, voltage, frequency, plug, refrigerant and required certification or documentation. If a requirement is unknown, label it as open rather than selecting a value without technical review.

4. State the commercial planning inputs

Provide estimated quantity, target delivery date, destination port or address, branding scope and whether the quotation should include samples, spare parts, special packing or mixed models. The supplier can then identify which terms require a separate option.

5. Review quotation boundaries

Check whether the quotation clearly identifies model, configuration, quantity, unit basis, packing, Incoterm, payment, validity, lead time, warranty and exclusions. Website information is general; the issued quotation and contract should define the binding commercial scope.

Minimum inquiry checklist

Sending these inputs together reduces assumptions and makes offers easier to compare.

  • Company, contact person and destination market
  • Buyer type and commercial application
  • Product category, model reference or floor plan
  • Quantity and target date
  • Voltage, frequency, plug and required documentation
  • Branding or private-label scope
  • Delivery location and trade scope

Export project reference

South American beverage cooler purchasing case

This buyer's initial eight-unit order and proposed nine-unit follow-up illustrate why model mix and order documentation belong in the brief. The case does not establish a standard MOQ for other orders.
